BUYING A TICKET

1 HOW DO I BUY A TICKET ON TICKETLIST?

To buy a ticket for an event, click into the event you’d like to attend then choose ticket type and quantity. Click BOOK NOW This will take you to the Checkout screen. You’ll also need to enter your name and email address so that we can send you the tickets. Once you’ve done this, click the ‘CHECKOUT’ button at the bottom right of the page and you will be taken to the credit card payments page to complete the transaction. Simple.

2 THE EVENT I WANT TO ATTEND IS FREE. DO I NEED TO GET A TICKET?

Depends. The organiser of the event may have listed Free Tickets to their event, in which case you’ll need to redeem a ticket in the same way as if it were a paid ticket (see above).

3 I DIDN’T RECEIVE MY TICKET VIA EMAIL. WHAT DO I DO?

If you’ve purchased a ticket for an event and not received a confirmation email, please contact our team on support@ticketlist.co.uk and we’ll make sure you get it.

4 I’M HAVING PROBLEMS BUYING A TICKET. WHAT DO I DO?

5 I’VE BOUGHT A TICKET FOR MY FRIEND, BUT MY NAME IS ON IT. WHAT DO WE DO?

No problem. If you were able to buy multiple tickets for an event in one transaction, the organiser will be expecting some people on the door to have tickets without their own name on it. If you’ve purchased a single ticket for a friend, forward the ticket email to your friend so that they can print it before the event.

Also be sure to consult the event page to see if the organiser has specified whether or not IDs will be required on the door - if so, contact the organiser directly to see if they’re okay with you giving your ticket to a friend. Feel free to contact our support team on support@ticketlist.co.uk if you need help with your ticket.

ORGANISING AN EVENT

1 IS TICKETLIST REALLY FREE?

Ticketlist is all about enabling you to host events, whether they are for 10 or 100,000 people – this service is for you. Ticketlist is free for event organisers and it does not cost you anything to create and promote events, sell tickets and manage guest lists. Free events are also 100% free for the event-goer. If the organiser is selling tickets, Ticketlist adds a small booking which can be added to or included in the ticket price.

2 HOW DO I CREATE MY EVENT?

  1. Click ‘List My Event’ in the top menu and fill in the relevant info for each step.
  2. You can then either save your event page for later or click ‘Go Live’ if you want your event page made public immediately.
  3. Later you can simply log in using your Ticketlist account details to edit your listing, download guest lists, keep track of ticket sales and much more.

3 HOW CAN I SEE THE GUEST LIST FOR MY EVENT?

You can follow who has purchased tickets for your event by logging into your Ticketlist account and going to 'My Events’. Once you've found the individual event's page, press 'Overview'. The Event Overview will let you track how many tickets were sold and how much revenue the event has made. On the same page you can download your guest list in PDF format. PDF guest lists are printer-friendly and ideal for use on the door to check off when your guests as they arrive.

4 HOW CAN I TRACK THE NUMBER OF TICKETS SOLD AND REVENUE FOR MY EVENT?

By going to 'My Events’, clicking on the 'Overview' link for the relevant event, you'll be taken to a screen showing the number of tickets sold and available, as well as the total revenue for the event.

5 CAN I SEE THE EMAIL ADDRESSES OF MY GUESTS?

When logged into your Ticketlist account, you can download your guest list at any time by going to 'My Events' and clicking 'Overview'. You will need to open the PDF file to see or print your guest list, which includes the email address for all attendees.

6 HOW DO I CREATE MULTIPLE TYPES OF TICKETS FOR MY EVENT?

When creating or editing an event 'Create Tickets'. Once here you can create as many different types of ticket as you need by clicking the 'Create a new ticket type' link. For example, a ticket for your event's Friday opening and a ticket for the Saturday as well.

7 CAN I CREATE EXCLUSIVE EVENTS?

Yes, your events can be public, private or password protected. When creating or editing an event, go to the 'Create Tickets' screen and press the settings icon next to the ticket you want to make exclusive. When you have created the event you can create the Access tickets by pressing "Access Codes" at the "My Events"-page. You can choose which tickets the code should unlock and give the code a name. How many times the code can be used depends on the settings through Event Creation.

8 HOW DO I SCHEDULE TICKET SALES? / HOW DO I OPEN AND CLOSE MY TICKET SALES?

You can control when you want to open and close the sale of your tickets. To do this go to 'My Events' and press 'Edit Event'. Next, click through to the 'Create Tickets' screen, where you can see all of the ticket types for that event. Each ticket has an 'Advanced Options' section below it. Click this and scroll down to 'Sales Period'. Under 'Sales Period' you can set the start and end dates for each of your ticket types. For example, if you need to set up Early Bird tickets to your event, this is the place to do it

9 HOW DO I SEND OUT INVITATIONS TO MY EVENT?

When you get your own event page with a unique web address, you can easily invite people to your event, by entering this link in emails you send out via your own email account, on posters and flyers, or on Facebook events.

10 HOW DO I DELETE AN EXISTING EVENT?

You can not delete an event. Please contact Ticketlist directly to cancel an event. This is to safeguard any customers who have previously bought tickets.

11 WHAT SHOULD I DO IF I NEED TO CANCEL MY EVENT?

12 DO MY GUESTS NEED TO REGISTER WITH TICKETLIST TO BUY TICKETS FOR MY EVENT?

Yes, when you use Ticketlist for the first time, we ask you to create a Ticketlist profile. This is to make it easier for the buyers to keep track of their tickets. Entrants must only state the full name and email, and the ticket will be sent to them when they sign up for your event.

13 WHEN WILL I RECEIVE THE TICKET PROCEEDS FROM MY EVENT?

We will endeavour to transfer revenue from ticket sales to your bank account 3-5 business days after your event has ended, sometimes this may take up to 7 business days. Depending on which bank you use, the money will typically land in your account the same day or the day after. Remember to enter your account information in the Promoter Verification Email.

COMPLIANCE

WHAT IS TICKETLIST DOING?

Here’s how we make sure to comply:

  1. We’ve taken extra steps to protect the personal data we collect and use.
  2. We’ve put in place processes to make sure Ticketlist event organisers and our service partners comply with GDPR.
  3. We’re working on upgrades and tools to help event organisers on Ticketlist better fulfil their obligations under GDPR. Things like better consent forms, ability to easily upload own privacy and refund policies, and so on.
  4. We’ve built a ‘Your Data’ page to make it super easy for anyone to see exactly what data we have on them...and to delete it, if they wish.
  5. We’ve updated a whole lot of legal docs.

TICKETLIST’S ROLE IN PROCESSING DATA

GDPR defines two “roles” when it comes to handling of personal data:

  • Data Controller decides how and for what purpose personal data is collected and used.
  • Data Processor processes the data on behalf of the Data Controller.

Where Ticketlist collects personal data from organisers and attendees who register for our services, we are the Data Controller. We may use such data for analysis, improving our platform, and providing event recommendations.

Where Ticketlist collects data on behalf of the organiser, such as when they ask additional questions during ticket purchase, we are the Data Processor.

Because we may process the same data for our own and organisers’ needs, we may have a dual role (and different obligations) as both the Data Controller and Data Processor.

WHAT SHOULD EVENT ORGANISERS DO?

If you’re using Ticketlist to create and manage events, you need to know a few things.

You are a Data Controller

In situations where you decide what data to collect about your attendees and how to use it, you are the Data Controller. In those cases, Ticketlist is the Data Processor. We collect and process that data on your behalf.

As the Data Controller, you must comply with GDPR when collecting and using such data. More specifically...

The 6 data protection principles

Data you collect from attendees via Ticketlist should follow these principles:

  1. Lawfulness, fairness, and transparency. Make sure you have a legal basis for collecting this data (such as getting a clear, informed consent from the person). Be very clear about what data you collect and why (write this into your privacy policy, for example).
  2. Purpose limitation. Only use that data for its stated purpose and nothing else.
  3. Data minimisation. Don’t collect more data than you absolutely need.
  4. Accuracy. Make sure this data stays accurate and respond to any customer requests to change or delete it.
  5. Storage limitation. Don’t store this data after it’s served its purpose.
  6. Integrity & confidentiality. Handle this data securely and prevent it from being misused.

WHAT RIGHTS DO EVENT ATTENDEES HAVE?

EU citizens using Ticketlist to attend events have the right to ask Ticketlist (or the organiser) to:

  • Show you the personal data we store on you.
  • Correct any wrong data about you.
  • “Forget” you by deleting the personal data we store.

Ticketlist and event organisers must show you this data at latest, one month after your initial request. If you’re a registered user, you can also visit the ‘Your Data’ page to instantly see some of the data we store and delete that data directly.
